Duplicate or missing items
TroubleshootingIf you are noticing the totals in your inventory reports are different from the old site or from what is being shown on your Dashboard, there are a couple of things to consider.
NUMBER OF ITEMS vs NUMBER OF FILES
The number listed in your Dashboard is the number of files in your inventory, not the number of items. It does not take into consideration the QTY of an item, if you have entered an item as having more than one. All reports will reflect the quantity field and show you the number of ITEMS.
DIFFERENT NUMBERS/ITEMS FROM WHAT WAS ON OLD SITE
With the launch of the new website (Sept 2014) there were many corrections made in programming anamolies we were experiencing on the old site. Quantities were not as big of an issues as the dollar totals, such as total High Value, or Total purchase price. Many errors were caught and corrected in the new site development. Also, when it comes to values, they are changing all the time so if you're comparing reports from different time periods, it is very likely the dollar amounts of values will look different.
Also in the move to the new site, it was discovered that many items in a customer's inventory were not displaying properly on the old site for various reasons. Those corrections have been made so ALL of your inventory should be showing both on the front-end, as well as in the reports. If you are noticing any items missing at all, please report that to us so we can troubleshoot the issue. We will always ask you for the most recent report or back-up file to verify that the item was once there. In most cases, we find that a customer has 'thought' they entered the item, but did something wrong in the add-item process that kept the item from actually being saved to their inventory. There were also occasional programming errors that would cause problems in the add-item function. All of these errors have been corrected in the new site, so be sure to report any errors.
ITEMS SHOWING AS DUPLICATE IN ACCOUNT
With the old site, it was common for an item to become 'unlinked' with the corresponding file in our database ... there are various reasons why we think this was happening, but when it happened it caused the item to 'disappear' from the front-end. But on the back-end, the item remained in your inventory. In some cases, customers just assumed the item had never been added and went ahead and re-added the item. In other cases, the customer may have never even noticed.
With the new site, this issue has been corrected but all of the items that were 'hidden' will not be seen and look to those who thought they were gone and re-added the item, they will now appear to have been duplicated. We have a tool on the site to help you with this issue ... it's called the LIST REPAIR and it's located under your Account menu.
LIST REPAIR TOOL
This tool will go through your inventory looking for any items that are not currently linked with a corresponding file in our database. Any items that have been manually entered will qualify as this, as well as any item that may have become unlinked for whatever reason. As you work down the list, you can choose if you want to link it to a file in our database (so that it automatically updates and moves out of the OTHER category into its proper category), or just keep it as manually entered.

HOW TO CORRECT
If you find you have a duplicate of an item, simply decide which one you want to keep and delete the other. To delete, locate the item and from the click the red trash icon button. If the issue continues to happen, where items seem to be duplicating or disappearing on you, please let us know.
REMINDER: BACK UP OFTEN
As a reminder, data can be a tricky thing and the digital world can be unpredictable. It is always a good idea to run regular reports and back-ups of your information to insure that any loss can be reinstated. To run a back-up, use the back-up utility in your Dashboard.
